The Singapore Medical Association and its related entities (SMA) are committed to protect the privacy of your personal information. This policy contains information regarding the collection, usage, disclosure of Personal Data and guidelines governing this information under possession by Singapore Medical Association (including the SMA Charity Fund (SMACF) and related entities).

By continuing to use SMA’s services, you signify that you have read, understood and agree to be bound by this Privacy Policy as amended from time to time in respect of SMA’s collection, use and disclosure of your personal data.

Personal data

Personal data refers to data, whether true or not, about an individual, or data and other information which SMA possess when used in conjunction that can identify an individual.

Examples of Personal Data you may provide to us include (depending on the nature of interaction with us) your name and address, NRIC number, mobile number or photograph.

Purpose, collection, usage, disclosure of personal data

Generally, SMA collects personal data in the following activities:

  1. SMA Membership

    Personal data is collected for the administration of your SMA membership application. Information may be disclosed to third parties to facilitate the enjoyment of membership benefits provided to our members from time to time, such as for the purposes of the verification of membership validity, redemption or delivery of prize and gift, update of web-based membership portal, processing of payment for products and services purchased and other membership related matters. Photographs and videos may be taken at membership recruitment drive for event coverage, evaluation and publicity purposes of the SMA.

    Personal data is also collected for the dissemination of publications, news and events updates, and/or marketing campaigns in relation to the goods and/or services that we and/or our business partners provide, or on our behalf. You may unsubscribe from this service at any time.

  2. Professional announcement and manuscript

    Personal data may be collected for the administration of your advertisement/professional announcement or manuscript submission to the SMA and its Singapore Medical Journal. Information may be disclosed to third party vendors who assist us in the printing and delivery of our publications to you from time to time.

  3. SMJ CME Quiz

    Personal data is collected for the administration of your SMJ CME quiz submission. Information may be disclosed to third parties for processing of CME points.

  4. Public feedback on SMA Doctors

    Personal data is collected for the administration of your feedback. Information may be disclosed to the parties implicated in the case, Ministry of Health, Singapore Medical Council as well as third parties who assist us in our feedback investigation and handling process.

  5. Courses, events, seminars

    Personal data is collected for the administration of your course and calculation of CME points. Information may be disclosed to third party event organisers, co-organisers and partners if required for prize redemption purposes based on your discretion. Information of eligible healthcare professionals will be provided to third parties for processing of CME points. Photographs and videos may be taken for event coverage, evaluation and publicity purposes.

    SMA believes in protecting the privacy of the personal data of our members and participants in our events. We generally do not disclose our participant list to our sponsors except when specifically notified from time to time.

  6. Contests and lucky draws

    SMA or its appointed agents, may from time to time administer contests and lucky draws for the purpose of generating interests and support from our stakeholders. By participating in such contest or lucky draw, you would have consented to the disclosure of personal data to the sponsor of the contest or lucky draw for the purposes of participating in the contest or lucky draw. Photographs and videos may be taken for event coverage, evaluation and publicity purposes.

  7. Medik Awas

    Personal data is collected for the administration of your Medik Awas application. Information may be disclosed to third party vendors who assist us in the creation of your Medik Awas amulets and other collaterals.

  8. SMA Medical Students’ Assistance Fund

    Personal data is collected for the administration of your bursary application. Photographs of beneficiaries may be used for publicity purposes. Information may be disclosed to SMA and its related entities; and the medical school that you are/will be studying in or other third parties for the administering, assessing and/or awarding of the bursary application. Photographs may be disclosed to third party vendors who assist us in the printing of publications.

  9. SMA Web-based Directory of Doctors

    The disclosure of your information in this platform is based on your discretion in the Website membership portal.

  10. Medical Indemnity Services on behalf of Medical Protection Society (MPS) UK

    SMA is a data intermediary to Medical Protection Society (MPS) UK. Personal data is collected for the administration of your MPS application. Information will be submitted to MPS UK for processing of your application. SMA does not use this information for its own purpose.

Data intermediary

SMA is a data intermediary to Medical Protection Society (MPS) UK. Information is collected in order to facilitate work done for MPS. SMA account and MPS UK account information are mutually exclusive. Requests for addition/amendment/deletion of data, withdrawal of consent may be forwarded to MPS UK for further processing.

Disclosure of Personal Data

SMA does not disclose or share your personal information with any third party unless:

  • SMA has obtained your consent or;
  • SMA is required to disclose your information to service providers in order to provide our services or;
  • SMA is required to share your information with third party vendors who work on our behalf to provide a product or service to you or;
  • SMA is required by law to do so

Withdrawal of consent may impact SMA’s ability in providing certain services. Withdrawal of consent does not stop SMA from following up with you on certain activities including payment of outstanding membership charges, registration fees or other financial matters.

Personal data access request

You may request for a disclosure of personal data that SMA and its entities have about you and information about ways which the data may have been used during the past year. Please complete this form and submit it to us.

Other data protection rights

Individuals within the European Union may exercise the following rights:

  • Object to processing of personal data
  • Restrict processing of personal data
  • Request portability of personal data

Objection or restriction in processing of personal data may impact SMA’s ability in providing certain services. Objection or restriction to processing of personal data does not stop SMA from following up with you on certain activities including payment of outstanding membership charges, registration fees or other financial matters.
